VisaShape is an Australian migration consultancy. This policy explains what personal information we collect through this website, why we collect it, who we share it with, and the choices you have. We handle personal information in accordance with the Australian Privacy Principles under the Privacy Act 1988 (Cth).
What we collect
Through our free visa assessment form we collect the information needed to assess your eligibility: your name, contact details, date of birth, nationality and country of residence, current visa status and visa history, relationships and family composition (including the ages of any children), education and employment history, English language ability, and your immigration goals. Our contact and booking forms collect your name, email address, phone number and the details of your enquiry. If you create an account we store your name and email address, and if you sign in with Google we receive your basic Google profile. Where you upload supporting documents for a matter, we store those documents. We also record technical information automatically, including your IP address, browser and device type, and the pages you visit.
How we use it
We use your information to assess your visa eligibility and respond to your enquiry, to provide migration advice and services, to arrange and conduct consultations, to send you the emails you have asked for, to operate and secure this website, and to meet our professional and legal obligations as registered migration agents. We do not sell your personal information, and we do not use it for advertising.
Error monitoring and session recording
To find and fix faults on this website we use Sentry, an error-monitoring service. When something goes wrong, Sentry receives a technical report about the failure. We also use Sentry's session replay feature, which records a reconstruction of your visit — the pages you view, where you click and scroll, and what you enter into our forms — so we can see exactly what happened when a problem occurs. This means information you type into the assessment form may be included in those recordings. Recordings are used only to diagnose technical problems, are accessible only to our team, and are deleted automatically after 30 days. If you would prefer not to be recorded, please contact us before submitting the form and we will take your details another way.
Who we share it with
We share personal information with the service providers that run this website on our behalf: Sentry (error monitoring and session replay), Resend (delivery of our emails to you), Neon (the database that stores your information), Cloudflare (website hosting, content delivery, file storage and basic traffic analytics), and Google (only if you choose to sign in with a Google account). Each provider may access your information only to perform services for us. We may also disclose information to government departments where you have engaged us to lodge or support an application on your behalf, and where required or authorised by law.
Overseas disclosure
Some of the providers listed above store or process information on servers outside Australia, including in the United States and the European Union. By using this website and submitting your details, you consent to your personal information being disclosed to those overseas recipients. We take reasonable steps to ensure they handle your information consistently with the Australian Privacy Principles.
How long we keep it
We keep assessment submissions, enquiries and client records for as long as needed to provide our services and to meet our professional record-keeping obligations as registered migration agents, and then for as long as required by law. Technical error reports and session recordings are deleted after 30 days. You can ask us to delete your information at any time, and we will do so unless we are required to keep it.
Accessing and correcting your information
You can ask us for a copy of the personal information we hold about you, ask us to correct it if it is wrong, ask us to delete it, or withdraw your consent to us contacting you. Contact us using the details below and we will respond within a reasonable time. If you are not satisfied with how we have handled your personal information, you may complain to the Office of the Australian Information Commissioner at oaic.gov.au.
